Capture the information you need, when you need it with the newly introduced Asset Auditing Inspections.
Capture Pictures, save Asset Locations, raise Requests and view Audit History.
The main features of the new Asset Auditing Inspections are:
Asset Auditing is included under Inspections in the Preventative Maintenance Module, this raises a Work Order including the questions required to carry out the Audit and all completed Audit's can be accessed through the corresponding Asset Details in the Asset Register.
Yes, in fact we recommend it. completing Asset Audits on a handheld device gives you the added ability to take a picture of the Asset and attach it to the Audit, or Maintenance Request If desired. For now, Asset Auditing is only available on the browser based version of MEX so ideally conducting Audits on an iPad or Tablet.
You can conduct Asset Audits based of Asset Groups or you conduct an Audit on each Asset separately. So the amount of Audits you can conduct is only limited by the amount of Assets in your register. So essentially an unlimited amount of Audits can be carry out.
Our Audit’s don’t contain predefined questions we leave that entirely up to you our customers. Every company is different and has different requirements, we however recommend you structure your questions in a way that gives you a meaningful insight into the Assets life since the last audit.
Yes, you can raise recurring Audits in the same manner as Inspections and Preventative Maintenance policies are scheduled. By nominating a set frequency inside the Inspection, MEX will raise a new Work Order each time that it is due.
The Audit History for each is stored under the corresponding Asset’s Asset History tab within the Asset Register.
Asset Auditing allows you to reconcile your maintenance records with an Asset current state, you can confirm locations, confirm state and functionality of the assets and submit any maintenance requests where required.
Regular Asset Auditing also contributes to smoother maintenance practices and increases the chance of catching any issues with an Asset before it snowballs.
Other benefits include:
You can only set the location of Asset within an Audit itself. Location can be selected in one of two ways:
This feature allows you to directly view last Audit details from the previous conducted Audit. Easily compare the current state of the Asset with the reported state of the Asset when it was last audited. This information can provide useful insight on raising requests.
Asset Auditing is independent to financials, what’s included in your Asset Audited is determined solely by the questions you chose to define in your Audit list.
Over time, situations change, Assets get upgraded or replaced and some get relocated. Without the correct information recorded against these Assets, you run the risk of having Assets unaccounted for. This brings about the need to Audit your Assets on a regular basis.
Off the back of our Preventative Maintenance Inspections module, we have enhanced it’s functionality to make MEX more suitable for an Audit. Providing our users with a platform to easily perform specific audits on single Assets or groups of Assets and introduced the ability to create follow-up requests from every Audit performed.
Asset Auditing works in the same way as Inspections, in that a set of questions define the Audit checks that are required to be performed on a particular group of Assets.
To improve formatting and data capture, we have introduced the ability to:
Once the specific Audit Inspection date is due, MEX will raise an Audit Work Order and assign it to the appropriate party. An Audit Tab then appears inside the Work Order allowing the user to perform the Audit and input the data required.
Upon completion of the Audit, all entered information is saved and will be called up upon in future Audits to allow users to identify any flaws instantly and also gain an understanding of the state of the Asset. This information is readily available against each Audited Asset in the MEX Asset Register.
Including a picture in an Audit further highlights a particular issue or an Asset‘s current condition and will assist the maintenance team greatly. Upload from a computer or take a picture on your handheld device and upload it to MEX.
We have made it easy to raise a Maintenance Request directly from the Asset Audit details. Simply click the Request button on the associated audit line of the issue identified and a Request will be added to the system.
In order to see the history of each and every Audit performed on an Asset, we have included a new tab in the Assets Details in the Asset Register. Giving users the ability to scroll through the history of all Audits performed on that Asset.
Inside each Audit Work Order users have the option to set the location of the Asset being audited by either tapping the Set Location button or selecting the location from the map provided.
